When an employee’s fixed deductions (like their benefits or 401(k)) exceed their total gross pay in a given pay period, it results in what’s called a ‘negative net pay’—i.e. where the employee ends up owing the company money instead.

In those situations, a Payroll admin would have to manually intervene to issue an advance, or push some deductions to a future pay period instead. But when the realization of an employee’s negative net pay comes late in the day—or not at all—that can result in significant delay to the pay run.

But sometimes admins don’t even discover this discrepancy until the last minute, while trying to approve a pay run or after finding that auto-approval has failed.
